A Proposal Manager is responsible for managing the proposal development process, including coordinating with various teams to gather necessary information, writing and editing proposal content, ensuring compliance with requirements, and managing the submission process. They may also assist in developing proposal strategies, conducting research, and maintaining proposal databases. This role requires strong communication, organization, and project management skills.

- Responsible for coordinating various aspects of proposal preparation to ensure that all parts are completed and produced for submission within the set timeframe.
- Ensures that documents are secure and in keeping with company standards.
- May involve evaluating and clarifying client requests prior to submission and participating in pre-proposal meetings.
- Collaborates with cross-functional teams (e.g., sales, finance, legal, operations) to gather accurate data and compelling content.
- Develops standardized templates, tools, and best practices for proposal development to improve efficiency and consistency.
- Conducts post-submission debriefs and win/loss analysis to drive continuous improvement in proposal quality and success rates.
- Maintains a content library of reusable proposal components and ensures all materials are up to date and aligned with brand standards.
- Stays informed on industry trends, competitors, and client needs to tailor proposals effectively.
- May contribute to pricing strategy, bid compliance, and risk identification as part of proposal development.
- Possesses comprehensive knowledge of subject matter.

Work Requirements

Work Authorization
Must be authorized to work in United States and able to submit required supporting documentation
Required Education and Experience
- Typically requires a bachelor's degree and 3 to 6 years of experience
- 1-2+ years of experience in proposal/bid response work with an understanding of proposal processes
- Moderate level proficiency with the Microsoft Suite (Word, PowerPoint, Excel, and Outlook) with the ability to insert complex graphics, create formatted documents quickly, sort and filter information effectively, and schedule meetings across multiple calendars
- Proficiency with Adobe Acrobat, including Form creation and completion, Comment incorporation, and file merging
- Performs work under minimal supervision
- Handles complex issues and problems, and refers only the most complex issues to higher-level staff.
- Ability to foster relationships and work collaboratively with a variety of professionals in a teamwork manner
Preferred Education and Experience
- B.S. or B.A. in Business Administration, Journalism, Public Relations, Information Systems and Decision Sciences or English
- Ability to think creatively offering ideas on how to present information and showcase it in a visually appealing way in the proposal documents, presentations, and other printed materials
- Ability to perform technical editing for grammar and readability of documents prior to publishing
- Ability to manage complex document requirements, showcasing attention to detail
- Willingness and ability to be flexible with working hours by potentially working nights, weekends, and holidays on occasion to meet proposal deadlines
